The writing desk
Answers on handwritten signatures, letterheads, seals, drying ink, importing mail, passkeys and billing. A person in Florence replies within one working day.
Draw your signature
Go to Settings → Signature and draw with your mouse, trackpad, stylus or finger. Pennapost follows the speed of your hand, so fast strokes come out finer and slow ones heavier, just like real ink. It then smooths the line and keeps it crisp at any size.
Not happy with it? Tap Clear and try again as often as you like. Most people settle on their third or fourth attempt. When it looks like you, choose Use it and it closes every new message from then on.
How your signature looks to others
Your signature travels as a small image placed under your sign-off, with your typed name beside it. People on Gmail, Outlook, Apple Mail and phones see it just as you drew it.
Some mail apps hide images until the reader allows them. In that case they still see your typed name in the same place, so your message never ends abruptly. You can switch the signature off for a single message from the ••• menu in the composer.
Design your letterhead
Go to Settings → Letterhead, pick Classic, Monogram or Modern, and choose an ink: Royal, Oxblood, Emerald or Midnight. Your name and address fill in automatically, and you can add a line such as a studio name or a phone number.
The letterhead appears on new messages straight away. To send one message without it, open the ••• menu in the composer and choose Plain paper. Letterheads are included with Fountain and Press.
What the gold seal means
A gold seal means the message is cryptographically signed by the domain it claims to come from, and nothing was changed on the way. It’s the digital version of an unbroken wax seal.
No seal isn’t always bad: some smaller senders never set one up. But take extra care with links, attachments and anything about payments. When a message has no seal and imitates a sender you know, Pennapost marks it and moves it to Suspicious.
A real message landed in Suspicious
Open it and choose This is genuine. Pennapost moves it back to your inbox and remembers the sender, so their next messages arrive normally.
If a company you trust keeps landing in Suspicious, their mail may be missing its seal. You can let them know. Most can fix it in an afternoon, and it protects everyone who writes to them.
Change how long ink stays wet
Go to Settings → Sending → Drying time and choose between 5 and 30 seconds. Pencil keeps a fixed five seconds; Fountain and Press can set any time in that range.
While a message is wet, a ring counts down beside it. Choose Smudge to bring it back to your drafts with everything intact, or Blot to send it at once.
How spy pixels are removed
Many newsletters and sales emails hide a tiny invisible image that reports when, where and on which device you opened them. Pennapost removes these before a message opens, so the sender learns nothing.
Ordinary pictures still load as normal. A small note at the top of the message tells you how many trackers were blotted out.
Import from Gmail, Outlook or iCloud
Go to Settings → Import, choose your old provider and sign in there. Mail, folders and contacts come across in the background; a large mailbox can take a few hours, and you can keep writing the whole time.
To catch anything still sent to your old address, turn on forwarding with your old provider. Pennapost marks forwarded messages so you can see which address they were sent to.
Use Pennapost on your phone
Pennapost works in any modern browser, and our apps for iPhone and Android carry your signature, letterhead and drying ink with them.
You can also add your address to Apple Mail, Outlook or another mail app. Messages sent from those apps are still sealed, and your signature can be added as a standard signature block.
Use your own domain
On Fountain and Press, go to Settings → Domains → Add domain. Pennapost lists the few records to add at your domain registrar and checks them for you as soon as they’re in place.
Once the domain is connected, your messages are sealed in its name, so recipients see a gold seal for elena@bianchi.studio as well as for your @pennapost.com address.
Set up a passkey
Go to Settings → Security → Passkeys and choose Add passkey. Your device asks for your fingerprint, face or screen lock, and that’s it: next time, you sign in without typing a password.
Add a passkey on each device you use. You can remove one at any time, for example if you sell or lose a phone.
Reset a forgotten password
On the sign-in page, choose Forgot? and enter your Pennapost address. We send a 6-digit code to your recovery email; it works for 15 minutes.
Enter the code and choose a new password. For your safety, every other device is signed out, and your passkeys keep working.
Change or cancel your plan
Go to Settings → Plan. Upgrades apply straight away; downgrades take effect at the end of your billing period, so you keep what you’ve paid for until then.
Yearly plans cancelled within 14 days are refunded in full. Your mail is never deleted when you move to Pencil; you can always export everything from Settings → Privacy.
Export or delete your account
Go to Settings → Privacy. Export gives you every message, contact and your signature image in standard formats that any mail service can read.
Delete account removes your mailbox, signature and letterhead. You have 30 days to change your mind; after that, everything is erased for good.
